Human Resources (HR) Assistant
Part-time, fixed term (1 year, up to 16-20 hours/week)
Reporting to the HR Coordinator, the HR Assistant will serve the College by providing administrative support to the HR and Facilities team. This will include HR support to student employees, recruiting efforts, and any other administrative duties required by the team.
This role will be up to 16-20 hours per week with the hours spread across 4 days.
The position has an hourly rate of $24.00 per hour.
Responsibilities
- General Administration
- Assists the HR Coordinator and HR Director with general administrative tasks
- Creates, maintains, updates, and files all employee records (digital and physical copies)
- Initiates, collects and tracks all HR annual processes (performance reviews, timesheets, policies, renewals etc.)
- In partnership with the HR Coordinator, review and edit relevant sessional agreements, student job postings, and immigration letters
- Assists in projects (i.e. conducting research) related to HR and Facilities
- Member of Regent College Health and Safety Team. Responsible to schedule and minute monthly meetings
- Other duties as assigned
- Recruitment and Onboarding Support
- Drafts job descriptions and job postings
- Assists in scheduling, organizing, and hosting interviews
- Assists in preparation of interview questions and reference checks
- In partnership with the HR Coordinator, assist with all onboarding processes including pay and benefit set up
- Student Employee Support
- Provides administrative support for onboarding all student employees
- Provides administrative support for all SE and TA renewals
- Drafts job postings for student employees and administers the student employee posting process
Qualifications
- Understand and support the ethos and mission of Regent College as articulated in the Mission, Values & Theological Position.
- Undergraduate degree and/or a certificate in Human Resources.
- 1-3 years of work experience.
- Strong organizational and project management skills, including attention to detail, good time management, consistency in meeting deadlines, ability to plan well and anticipate needs, and fastidious organization of information, records, and files.
- Problem-solving mindset with a proactive approach.
- Excellent written and verbal communication skills.
- Communicate quickly and effectively over email.
- Ability to work both independently and collaboratively.
