Arts Administrator
Part-time, (up to 20 hours per week), Permanent
The Arts Administrator supports the rich and varied arts activities of Regent College by coordinating the day-to-day operations of the degree concentration in Christianity and the Arts and the various activities, events, and initiatives of the Arts program. Reporting to, and working closely with, the head of the Theology and the Arts program at Regent College, the Arts Administrator is expected to be proactive, organized, and communicative in ensuring the smooth administrative operations of the Arts program.
The hourly rate for this position is $26.50/hr.
Flexible hours with evening and weekend work rarely required.
Responsibilities
Facilitating the Christianity and the Arts Concentration
- Serve as Secretary of the Arts Advisory Committee, including setting agendas for and documenting all meetings (twice per semester, or as needed).
- Proactively contribute to a thriving arts community at Regent, including familiarity and supportive interactions with Arts students, coordinating periodic social gatherings of these students, and effectively interface with the broader Regent community regarding the Arts program and its various activities.
- Conduct regular check-ins with all students who are working on their Integrated Project in the Arts and Theology (IPIAT), from the preparation of their proposal all the way to completion.
- Oversee and support the administrative processes of IPIAT students identifying and formalizing off-campus technical advisors for their projects.
- Assist IPIAT students in scheduling their degree-completion presentations, finding practice and performance spaces, and preparing the logistics and publicity for their presentations.
- Serve as a point person and liaison for inquiries coming into the Arts program from current and prospective students, alumni, artists, scholars, vendors, organizations, and others.
- Interface with the Communications team regarding the public representation and promotion of the Arts program across various digital, online, and print formats.
- Other administrative duties as assigned.
Event Planning and Coordination
- Logistically coordinate all events sponsored by the Arts program, including public IPIAT presentations, talks by visiting artists and scholars, special artistic performances, the Audible student event, and other activities within the Supervisor’s dedicated Arts initiatives.
- Administer all contracts, expenses, timelines, and checklists associated with these events.
- Collaborate with Regent’s Communications team to develop the content, design, and distribution of all promotional materials related to these events. This will require proactive, timely, and efficient coordination with the Comms team and others involved in the event.
- Collaborate with the Associate Curator of the Dal Schindell Gallery to ensure effective coordination of Gallery events (opening receptions, artist talks, etc.) with other Arts events.
Qualifications:
Required
- Understand and support the ethos and mission of Regent College as articulated in the Mission, Values & Theological Position.
- Undergraduate degree, preferably in the arts or a related field of study.
- Strong organizational and project management skills, including attention to detail, good time management, consistency in meeting deadlines, proactivity to quickly address issues, ability to plan well and anticipate needs, and fastidious organization of information, records, and files.
- Problem-solving mindset with a proactive approach.
- Excellent written and verbal communication skills.
- Communicate quickly and effectively over email.
- Proactively manage invoices, payments, expense reimbursements, and basic financial reporting in a quick and efficient manner.
- Proficiency in Microsoft Office and Google Workspace.
- Ability to work effectively and collaboratively across departments.
- Ability to engage students and staff in a friendly, supportive, collaborative manner.
Preferred
- Administrative experience in an academic institution and/or an arts organization.
- Previous experience in events programming.
- Strong interests in and sensitivity to various artistic practices and communities.
- Strong interests in the intersections of theology and the arts.
- Experience and familiarity with artists and arts organizations in Metro Vancouver.
- Proficiency in social media, webpage editing, and other forms of promotional communication.
