Administrative Assistant, Dean of Students Team
Part-time (up to 10 hours per week)
Reporting to the Associate Dean of Students, this person will support the Dean of Students team in all administrative tasks associated with this office. Specifically, they will connect with new students during New Student Orientation; help to plan and execute community events; assist with practical and administrative tasks as they arise; and be a key resource person for students and their families who are moving to Vancouver. They will act as a point person for students who need assistance dealing with questions about housing, immigration, health insurance, schooling for children, driving, car insurance, and other practical aspects of life in Vancouver.
Hourly Rate for this position is $21.65
This position is expected to start toward the end of January, 2026
Responsibilities:
- Help with all administrative tasks in the Dean of Students Office, including but not limited to basic financial administration, website updates, scheduling meetings, and taking minutes
- Help with admin and logistics for New Student Orientation (Fall and Winter terms)
- Help with admin and logistics for community events such as New Student Lunches, Living Well Forums, Wisdom of Each Other, annual Christmas celebration, Taste of the World etc.
- Recruit and care for volunteers associated with Chapel and community events
- Help support the smooth execution of Chapel, including but not limited to proofreading and printing chapel maps, creating slides, finding volunteers etc.
- Keep up to date on the relevant policies and processes for individuals moving to Vancouver and work with the Associate Dean of Students to communicate these wherever necessary
- Assist new and current students with questions about:
- Housing
- Common questions about study permits and student employment on and off campus
- Interim health insurance, BC MSP and the AMS Health & Dental Plan
- Childcare and schooling for children
- Obtaining a Social Insurance Number, setting up a bank account, finding a cell phone plan, etc.
- Assist students with questions about driving and car insurance in BC
- Participate in weekly 1:1 and Dean of Students Office team meetings
Qualifications:
- Understands and supports the ethos and mission of Regent College as articulated in the Theological Position (http://www.regent-college.edu/about-us/theological-position)
- Holds a minimum of a Bachelor’s degree with demonstrated administrative experience. Other combinations of education and relevant work experience may be considered
- Has strong interpersonal skills and the demonstrated ability to work independently, collaboratively, and efficiently
- Has a heart for students, especially international students
- Displays an attention to detail, especially for understanding government policies and processes
- Displays a high level of self-motivation and excellent organizational and administrative skills
- Displays strong communication skills – both written and verbal
